We are looking for a highly organized and detail-oriented Procurement Specialist to join our team and provide essential administrative and supply chain support to the Procurement Department. This role plays a key part in ensuring the smooth and efficient operation of procurement activities across various centrally purchased categories. This role oversees spending control and optimization, invoice management, and SAP support while ensuring efficient handling of store utilities, industrial facilities, general services, and consumables. Additionally, the role involves analysing spending data, monitoring stock levels, replenishing centrally purchased goods, and supporting the local Procurement Team in daily activities.
Requirements for Success
- Maintain minimum stock levels to prevent both shortages and overstocking, ensuring business continuity.
- Coordinate with suppliers to ensure on-time delivery of goods in line with business timelines.
- Keep inventory levels low to support financial efficiency while meeting operational needs.
- Verify invoices by checking prices, quantities, spending volumes, and overall monthly expenditure.
- Maintain monthly spending control, ensuring procurement costs align with budgets and forecasts.
- Activate and manage utilities and mobile service contracts, ensuring seamless service provision.
- Regularly cleanse inactive accounts and users to maintain an updated and efficient procurement system.
- Oversee the contract registry, identifying and resolving non-conformities in collaboration with Category Managers.
- Update the vendor list, removing outdated vendors and ensuring an up-to-date supplier database.
- Support in the development and management of a vendor rating system, ensuring high supplier performance standards.
Skills & Experience
- Minimum of 3 years in a procurement or supply chain role, with preference for procurement experience. Retail industry background is a plus.
- Strong attention to detail with an analytical mindset
- Ability to manage multiple priorities and ensure timely procurement operations
- Strong organizational skills with the ability to manage multiple priorities and resolve challenges effectively
- Familiarity with procurement systems (SAP or similar) and vendor management
- Excellent communication skills to collaborate with internal teams and external suppliers
- A proactive and results-driven approach, with the ability to work independently and take initiative
