Your role
As a Medical Affair Assistant, you will support the operational and administrative activities of the Medical Affairs team, reporting directly to the Medical Advisor. You will ensure the efficient execution of scientific events and the proper management of documentation and vendor relationships, while gaining in depth knowledge of Medical Affairs processes within a regulated environment. You will collaborate with internal teams (Brand Management, Events Team, Trade Marketing, Finance) and external stakeholders to support the Manager and ensure the efficient execution of tasks.
Main responsibilities:
- PR, Communication and Content Review:

- Support the Manager in the scientific review of content for Public Relations (PR) activities and B2C (Business to Consumer) campaigns.
- Contribute to the review of press articles, media content and video interviews to ensure scientific accuracy and compliance with internal guidelines.
- Verify the alignment of PR amplification activities planned in the context of events and congresses.
- Asset and Materials Management:

- Provide support in the development and updating of medical‑scientific materials (e.g., slide decks, medical assets).
- Oversee the logistical management of warehouse assets in coordination with the Trade Marketing team, monitoring production requests.
- Operational and Logistical Event Support:

- Ensure the efficient execution of scientific events (such as Advisory Boards, congresses and internal meetings), managing logistics, invitations and participants.
- Provide on‑site organizational and coordination support for national and local scientific events, including managing travel logistics for the team.
- Administrative and Cost Management:

- Manage contract administration, creation of Purchase Orders (POs) and cost tracking related to external vendors involved in Medical Affairs projects.
- Monitor event and project costs, supporting budget updates in alignment with the Medical Advisor.
- Documentation Management and Compliance:

- Ensure proper warehouse management and accurate archiving of medical assets and medical‑scientific documentation.
Main requirements:
- Educational Background preferably in Communication, Economics or related fields.
- Solid experience with Office software packages (specifically: Excel, PowerPoint).
- Strong communication skill both written and verbal
- Ability to work independently while being a collaborative team player
- Good organizational skills with the ability to prioritize tasks efficiently
- Proactivity and analytical skills
- Creative thinking and the ability to bring fresh, innovative ideas
- Good problem solving skills
- Languages: Italian, English
