Your role:
EssilorLuxottica is led by the Head of Wholesale. Reporting to the Head of Wholesale are four managers who are responsible for the commercial activities of the business unit. Additionally, the support functions of EssilorLuxottica, including operations, business support, finance, instruments, and marketing, also report to the Head of Wholesale. Office management provides support to the various business units and is brand-independent.
In this role, you will perform secretarial duties for the Head of Wholesale to ensure optimal support, and providing, managing, and optimizing facility services for the employees of EssilorLuxottica Netherlands.
Main responsibilities:
- Ensuring the progress and handling of ongoing matters are taken care of, even during the (frequent) unavailability of the Head of Wholesale.
- Acting as an intermediary between the Head of Wholesale and internal staff/third parties.
- Serving as a point of contact and the first point of reference for internal staff and third parties, providing information (sometimes of a confidential nature).
- Drafting, monitoring, and documenting contracts from sales for customers. Informing the Head of Wholesale about the percentage and explanation of the contract.
- Supporting communication activities, including shaping and developing ideas for events such as open days and newsletters; maintaining external contacts with municipalities, advertising agencies, web designers, etc.
- Maintaining various agendas, scheduling and monitoring appointments, and reminding involved parties to adhere to their commitments.
- Organizing (international) meetings, including locations, invitations, reservations for clients and contacts from both domestic and international sources.
- Planning travel for the organization.
- Co-responsible for the lease policy and fleet management. Quotation, order, contract, and coordination with employees and leasing company for 65 cars for all NL employees.
- Responsible for managing, optimizing, and providing support services such as coffee, snack machines, cafeteria, cleaning, electricity, furniture, work clothing, garden, window cleaning, waste, paper flow, printers, office supplies, business cards, company visits, customer training, distribution of Easter eggs/Christmas packages, and company activities like BBQs, anniversaries, customer visits, and Christmas dinners.
Main requirements:
- Degree-level education required.
- Proficiency in Microsoft Office packages (Word, Excel, PowerPoint, Outlook).
- Strong previous office management experience.
- Excellent problem-solving skills.
- Demonstrable organizational skills.
- Excellent communication and interpersonal skills.
- Fluent written and spoken Dutch.
- Fluent written and spoken English.
